ACMS PTO Meeting Minutes
February 10th, 2022 Raley’s ONE In attendance: Susie Overall, Yvonne Moore, Denise Vanbeek, Saira West, Wendy McKechnie, Jenny Suh, Hien Larson Call to order, approve last month’s minutes Principal’s Report - Hien Larson: Kindness Week starting 2/14. Every day will have a theme, promote a week of kindness. 8th grade Parent Night on Thursday, February 17th. There will be a slide presentation available to view after the event, no Zoom option. Photos needed for yearbook. Send to [email protected]. Open House scheduled for May 12th so it can be outside. Will include a Kermes dinner, silent auction item display by PTO. Field Trips 7th and 8th Grade will be doing Ropes Course. Will need PTO help with transportation expenses. 2 home rooms per day, one bus per day over 4 days. District buses. 6th Grade trip is still unknown. 8th Grade End of the Year Promotion Committee, PTO helps plan a surprise party and dance. It would be fun to do it in the courtyard again. Dance This is a maybe, we’re hoping for Spring. Perhaps outside in March? Would be a fundraiser with pizza, etc. Need to get volunteers, two volunteers per homeroom. Jenny suggested fire department volunteers to chaperone. Online Silent Auction Fundraiser - For Open House on May 12th. We will start this fundraiser online this year. One week open to bidding online. Do baskets by homeroom. They will be displayed at Open House and bidding will close that evening. We will need to create a committee to manage this event. Sponsorships: Denise has started making calls. Eblast was sent out. We have a spreadsheet with ideas for companies to approach. The deadline for this year is the end of February in order to get names in the yearbook and banners ordered. Treasurer’s Report: Link to report. Motion was made to give $500 for Million Word sweatshirts, passed. Spirit Wear: Eblast to go out this week. Selling spirit wear online, accepts credit cards (buyer pays fees). Principal’s Report Progress Report: Should be available in Report Card History. Remember grades are per standards. Working on a mid-year system to look at "Pause, Reflect, and Plan" - give kids an opportunity to see the big picture, set goals for each subject. Don’t panic if your kid has a 2, we are aiming for 3’s by the end of the school year. Ask your kids "What do you need to get to proficiency?" We aren’t expecting kids to get a 3 right now, learning is continuous throughout the year. Winter Reading Challenge: Getting kids to read, celebration at the end. We send home books to kids with less resources. Every year, almost 100 kids reach the Million Word Club and design a sweatshirt. Will PTO help with the sweatshirt? Food Drive (Toys and Jackets): Our toy bin is almost full, nice work! There is a bin in the office for coat donations. We need more jackets - please bring some in. If you would like to donate food, they only accept gift cards. Field Trips: Trying to have one for each grade. These are ideas only, we are not putting deposits down when there is a possibility we would have to cancel.
Dance: Coming end of January. DJ is set. Waiting for it to get a little closer before we green-light it. Olympics: School-wide team building. Will be January 21st, a minimum day. Kids love it. Leadership votes on the themes. Super fun and creative. Feels like we have momentum as a school. Things are humming along. Advisory next Tuesday: What to do over break, resources for when a student needs to talk to a trusted adult. Used gift cards to buy thanksgiving dinners for families in need. Thank you to Susie’s church. Will do the same for Thanksgiving. Gift cards from Safeway, Kohl’s, etc. Treasurer’s Report $7424 in bank. $92 from Amazon Smile. Grocery Outlet: accrued over the past three months: $450 (correction from amount reported at the meeting). Expenses include spirit wear purchase, teachers’ snacks, etc. Tamale Fundraiser It costs $200 in supplies to do the fundraiser. An awesome parent volunteers their time to make the tamales. She can only make and deliver tamales for Friday, December 17th, hopefully people will still be around to pick them up. We hope to raise around $1,000. We will do this again before the Super Bowl. Board Position Open Thank you to Leslie for all the work she has put in to setting us up this year! We are looking for someone for this role to finish up this school year. Spirit Wear We collected $500 in sales at the coffee cart last month. We're still waiting for the final bill for items we purchased. We have received a quote for beanies and flat billed hats. Should we order now or later? Minimum order is 25, suggestion to get 25 of each and see how it goes. New shipments can arrive within a month. Pura Vida bracelets have been ordered, $163 for 50. Silver, black, and red. Hopefully they will be ready for sale at the dance, $5 each. Suggestion for a simple, black hoodie with a smaller logo or a 'Truckee' logo. Hien said Truckee High has a popular beanie, perhaps look into that? More gender neutral. Saira will speak with Wes and Tanya. Snacks for Staff Lounge: Thank you to Jenny B for providing snacks this year. For a time, Hien will pick up the staff lounge snacks. Thank you Hien. $100/month budget. Sponsorships We would like to ask local businesses for a one time donation and we will put their banner up in the gym or at the outside fields. Maybe wait until Summer to ask, because best incentive is a banner in the gym. Banners could also be hung on the outside fences. Possible budget to transport 200 kids per grade: in past years it has been $2000 per grade level; could be up to $4000 per grade level per year. Most sports transportation goes through ASB (Associated Student Body), but they haven’t been making money because there are no dances. Encourage parents to pay the fee to participate in sports. It has been free in the past, but it should cost $75 per family. Would be helpful to pay for equipment and transportation. We encourage families to contribute to sports participation due to increased budget and transportation expenses. We will make an effort to pursue more sponsorships from local businesses. Principal’s Report: “ACMS Connection” - finding every student's trusted adult. In the Fall, we usually get 80% of students who can name a trusted adult. There are 82% this year. Kids are still learning how to be at school. How to build community, putting systems in place, making kids feel less anxiety. By Spring, 90-95% usually have a named trusted adult. 3% say they don't have a trusted adult in their community or at home. We are focused on those. Breaking Down the Wall exercise - Teacher training and a full day of community building - trust building. Trainers must train staff, facilitators, and then schedule a day for it. High schoolers as facilitators. Dances - The first dance will happen in January. Olympics will happen in January. Literacy - Studies show that if kids are reading at grade level, they will be able to access the basic information of life. 90% of students have shown growth over the last year. Cougar Pride Cards - Kids are loving them, seeing a ton of positive behavior, acknowledging great behavior. Clubs - Are starting back up, even informally. Tutoring - Looking for volunteers to do this online as well An ACMS building is going up starting in June. Boys and Girls club building by the staff parking. Tell parents not to have kids cross Alder Creek Drive. Meet kids on same side of the street. Send out an email saying it's okay to park across the street at the church. Treasurer’s Report $7427 in bank, looking online for free (for nonprofits) software to start a budget, not many expenses or much income Received $800 in donations for conference week meals, will apply surplus to staff appreciation week meals. Grocery Outlet - when shopping there, say “please donate a portion of my bill to ACMS”. They are big supporters of our community. Spirit Wear Sweatshirts are being delivered tomorrow, we will have a coffee cart on Friday to sell spirit wear and give coffee from Zuri’s.Brainstorming how to do coffee cart and spirit wear sales on Friday. Will be set up by the gym entrance. Volunteers - Yvonne, Saira, Laurie, Natalie. Sandwich board will be placed by 7th grade dropoff directing parents to the front of the school. We will also sell at the dance in January. Also selling stickers (donated by West Orthodontics) and Cougar string bags. Will put new items and/or pictures of items in the display case in the main hallway and by 7th grade. Will look in to ordering Pura Vida bracelets in our school colors, hopefully they will arrive in time to sell at the January dance? Staff Lounge Snacks: Susie will bring in snacks tomorrow. Currently spending less than $100 a month on them. Restaurant Fundraiser: Looking for ideas for local restaurants and businesses to hold fundraisers. Tamale Fundraiser: We will try to do this before break in December. We will also do this before the Super Bowl - “Touchdown Tamales” Disney Tickets: The tickets we had have expired. We are on an email list for when they open the program back up. Krista Tranquila Studios: Open house first weekend of December. Sierra Essentials, Brad Henry Pottery, artisan event in each of their home studios. Will put a link to the map in the next newsletter. September 8th, 2021, 7:30 am Attendees Susie Overall, Jenny Suh, Hien Larson, Yvonne Moore, Stacie Krenicki, Nicole Reitter, Amanda Helm, Yvonne Moore, Saira West, Ashley Maloney, Natalie Grindy, Leslie Suen, Jenny Berger Overview Mission: Reconnecting our kids. What events can we go to connect the kids? Beach day? Truckee high football games, field day, etc. More ideas welcome! Treasurer’s Report $7,164 in the bank right now. We will contribute $800 to SWEP for the year. We owe $624 for Spirit Wear. Leslie Suen offered to take over treasurer duties, Susie will meet with her to train. We are working on creating a budget for the upcoming year based on financial needs. Principal’s Update Action: PTO can help with pop-up tents for the field if we need them in the future. First day of school went smoothly, kids are on it in terms of safety. We have over 600 students. Kids need a bonding event. Perhaps a ropes course? We may be able to allow parent drivers to the ropes course, instead of buses. Transportation is the biggest part of her budget right now. This won’t happen until after January so it’s better to focus on a Spring event. Teachers are working with kids on extra bonding experiences. We can’t have any non school district companies or coordinators on campus. SWEP will do their program this year (with the financial support of the PTO). Back to School Night - Moved to September 21st. Asking that only one adult per family to attend, no students. 5:40pm - go through your kid’s schedule. 10 mins each room. The PTO will have a table set up for afterwards to sell spirit wear. Picture Day - This Friday during student's PE period. Independent Study - Short term only, must be less than 15 days. We try to accommodate sports. In two weeks Hien will begin meeting with families to sort it out. District policy says you must be motivated to do independent study and parents must help, it is not easy. Standard Reference Reporting - Grade books are different this year, similar to elementary style. Goal is end of year proficiency. Kids need a mindset of progress and improvement. Kids should self-reflect on their learning. Parents should guide them to encourage growth and progress, not perfectionism. This helps kids love the process of learning. Parent Teacher Conferences at the end of October. Student-led. Progress, social emotional, etc. Action: We will prepare lunch for the teachers. Individually wrapped. Stacie Krenicki will coordinate this. Maybe we can hold an outside dance in January. 😊 New Assistant Principal - Kristin Fielding from the Bay area. She lives in Tahoma, has two kids. College and grad school in Portland Oregon, moved to Bay, taught elementary and middle before becoming an administrator. Taught our Cohort “C” last year. PE - Kids won’t dress out until probably January. Bring your gym shoes. Will get a locker next week and can keep gym shoes there, deodorant etc. COVID Outbreak - If 5% of the school tests positive, the school will likely close for two weeks and classes will be through Google Classroom. Not live instruction, more like independent study. Nurse will do contract tracing. Cougar Days & Spirit Wear Had a table sold $1018 in Spirit Wear. Will do inventory and order some more gear. We can sell again at back to school night. Saira West is going to help coordinate our spirit wear inventory. Perhaps we can add more items such as pennants, long sleeve shirts? We also have string bags to sell. We will work with our supplier to get more popular items on hand, i.e. youth sweatshirts and beanies. Back to School Night We can set up a table for parents to visit after the event with spirit wear and PTO information. High school students can staff. Yvonne is looking in to ideas to offer a take home dinner - pizzas, burritos, tamales. Snacks for Staff Lounge $100/month budget. Will try to connect with our former helper, Celli, to purchase healthy items at a good price. Distribute snacks every Monday morning. Jenny Berger will coordinate this. Restaurant Fundraisers After putting this program on hold during COVID, we would like to have fundraisers at different restaurants each month. Summit Swirl supported us in August. Other ideas - Panda Express, El Toro, Port of Subs, Drink Coffee Do Stuff. Reach out to parents to see if there are restaurant owners who are interested. August 11th, 2021, 5:30 pm Attendees Susie Overall, Jenny Berger, Jenny Suh, Karsten Swenson, Yvonne Moore The focus of the PTO this year will be to reconnect our students. Board Members We need people to cover board positions - Co-Leaders, Secretary, Treasurer, Fundraising. Other tasks that need to be managed include the monthly newsletter, Facebook posts. Our group can share the load of these things. It’s great to have people just willing to step up when work needs to be done for events. Treasurer’s Report Balance: $6170. We need to obtain the checkbook and financial records from the previous Treasurer. Susie will work on updating and creating the budget for the upcoming year. Principal’s Update Questions we have right now for Hien:
- Budget for Field Trips - We are NOT doing fundraising for the big field trips as we have in the past (6th grade to Sage Hen, 7th grade to ropes course and 8th grade to Wild Island). With all the uncertainty around COVID, we can't commit to anything nor pay any deposits. We would really like to plan some smaller events to reconnect the kids throughout the year which don't involve chartering buses, paying deposits, etc. Some ideas we had included beach days, THS football games, etc. We need your help with ideas and planning! Cougar Days - August 23rd PTO Table: We will have a table set up to hand out information on PTO - what we do, when we meet. We will also have a QR Code with information available online. Susie will set up a Sign Up Genius so we can have shifts manning the table. School Supplies: We won’t be selling school supply kits this year. Hien will let us know if there are some high demand items we could possibly have on hand to sell a la carte. (graph paper, composition books, colored pencils, pencils?) Or perhaps we could offer to fund school supplies for families in need. Spirit Wear: We will have spirit wear available for sale - beanies, sweatshirts, t-shirts - as well as available to order. Susie will try to set up the ability to take credit cards or at least Venmo before the 23rd. We will provide paper order forms as well as a QR Code for online ordering. Back to School Night - September 9th PTO will have a PTO presence that evening - Susie will set up a Sign Up Genius. Hien and I discussed having a to go Kermes dinner available for pre-order and pick up that night, preparation costs to be covered by PTO and proceeds to benefit PTO. The PTO is interested in ensuring packaging is as green as possible and would be willing to look into supplying packaging. PTO Meetings Meetings will be the second Wednesday of each month at 7:30 am. We can discuss occasionally having meetings in the evening. As of now, we can meet in the ACMS staff room. Hopefully there will be a teacher liaison available to attend the meetings, perhaps the assistant principal? Ideas

Checks outstanding for baskets, flower bouquets, SWEP (sustainability club), shouldn’t be any other expenses this year. Will start with that amount next year. Raughley is working on the final budget for 20/21, will create the budget for 21/22. We contributed $800 to 8th grade graduation. We received a few small donations via PayPal for 8th grade graduation. Will forward that money to Hien. Susie will talk with Hien about what our needs are for next year. Field trips to Wild Island, Shady Creek, Ropes Course? Let’s make sure we ask parents to chip in on the permission slips as we have done in the past. Ask Hien to put that back on the permission slip. Ask Hien if we can reschedule the overnight field trips that we missed. It would be great if 8th graders could have an overnight to bond them before heading off to high school. Principal’s Update Cougar Days is August 17th. Typically ACMS PTO sells school supplies but not sure what that would include. We will definitely plan to have spirit wear available for sale as well as available to order. Offer more popular items - beanies, sweatshirts, t-shirts. This will be the time to sell. Waiting on the State to get guidelines for school. Probably still masks and barriers next year. District survey: There will not be a cohort C next year. Summer school will be held at ACMS this year in July. Wrapping up the year, trying to honor 8th graders. Celebration on Wednesday, June 16th. 8th grade promotion will be the next day. Each student will receive four tickets, they will be sent home on Friday. You must have a ticket to attend, ask Hien if you need more. Promotion will also be available to view online. Masks must be worn. No hats. Kids must go to practice every day or they can’t participate. 8th grade award assembly on June 16th. June 18th - 6th grade is doing a beach day. 7th grade will be doing something too. Our school is growing, there will be around 600+ students next year. Bell schedule will be full day, 7:45 am - 2:15 pm. Bus service as usual. Should know more by July. Right now, Hien is putting a hold on all field trips. Simply can’t commit to anything now. 8th grade gifts have arrived, PTO funded and can help put together. Next Year’s Board Who will be returning? Secretary, Treasurer, Co-Leader, all open positions. We need to recruit more help. PTO Meetings Since things have opened up and we’re not working and attending school from home as much, we need to find a better time for meetings. We need move so teachers and working parents can attend. Discussed having meetings somewhere at 6 pm, perhaps every other Thursday. We could also alternate having meetings in the morning and the evening, different each month. We have to see if the school will allow us to meet on site next school year.
